Submission Preparation Checklist
As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.
- Originality and prior dissemination. The manuscript is original, has not been formally published in substantially the same form, and is not under consideration by another journal. Any related preprint, thesis or dissertation, conference paper or abstract, repository version, working paper, report, protocol, dataset, translation, related manuscript, or other prior dissemination has been disclosed in the submission and in Comments to the Editor. A stable link, DOI, repository identifier, or complete citation has been provided where available, together with an explanation of the relationship between the related work and the submitted manuscript. The disclosure complies with the journal’s Preprint & Prior Dissemination Policy.
- Scope and scholarly contribution. The manuscript fits J-HyTEL’s Aims and Scope and explains a clear, transferable scholarly contribution. Research in computer science applications is considered within scope only when its central research problem and scholarly contribution demonstrate an explicit and substantive relationship to learning, communication, user experience, accessibility, or human interaction with digital media.
- Required submission files and optional manuscript template. The submission includes two clearly labelled and separate Microsoft Word files: “Blinded Manuscript” and “Title Page”. Authors may prepare the Blinded Manuscript using the J-HyTEL recommended manuscript template or another clear and professional Microsoft Word format. Use of the recommended manuscript template is optional and is not a condition for initial submission. J-HyTEL does not prescribe a fixed visual template for the separate Title Page. Regardless of the format or layout used, both files comply with the current J-HyTEL Author Guidelines and contain all required sections and information. Files are submitted in an accepted Microsoft Word format (.doc or .docx format; .docx is preferred). Where applicable, supplementary files have been uploaded separately and assigned the correct file designation in OJS.
- Contents of the Blinded Manuscript. The reviewer-facing manuscript contains the article title, abstract, keywords, main text, figures, tables, references, and all reviewer-relevant declaration headings and information required by the current J-HyTEL Author Guidelines. It does not contain author names, affiliations, email addresses, ORCID iDs, biographies, photographs, non-blinded acknowledgements, personal contact details, or other information that directly identifies the authors. Identifying information within acknowledgements, funding, ethics, repository, data-availability, prior-dissemination, institutional, or other statements has been replaced with [blinded for review] where necessary.
- Anonymisation and document inspection. Author-identifying information has been removed from the Blinded Manuscript’s file name, document properties, author metadata, comments, tracked changes, revision history, headers, footers, hidden text, embedded objects, and linked content. All comments have been removed, and all tracked changes have been accepted or rejected before upload. Relevant self-citations have been retained and written neutrally rather than removed solely to conceal authorship.
- Required contents of the Title Page. The separate Title Page uses a clear and professional layout and contains the complete manuscript title; the full name and intended order of every author, without academic titles or professional ranks; each author’s department or unit; faculty where applicable; institution; city; country; email address; and ORCID iD where available. The corresponding author is clearly identified, and their valid ORCID iD and contact email are included. Author biographies and professional photographs are not required for initial submission or peer review. Where such materials are used as part of the final published article or author profile, the editorial office may request them after acceptance. They are not considered in editorial or peer-review decisions.
- OJS contributor metadata and authorship. Every author has been entered separately in the OJS contributor metadata using the Add Contributor function. Author names, order, affiliations, countries, email addresses, ORCID iDs, and contribution information are complete and match the separate Title Page and intended publication byline. One author has been designated as the primary contact. Every listed author meets the journal’s authorship criteria, has approved the submitted version and author order, and accepts accountability for the work. Non-author contributors are acknowledged with permission where applicable.
- Declarations. The manuscript must include all applicable declaration headings and information required by the current J-HyTEL Author Guidelines, including Author Contributions, Acknowledgements, Funding, Competing Interests, Ethics Approval, Informed Consent, Consent for Publication, Data Availability, Generative AI and AI-Assisted Technologies, and Preprint and Prior Dissemination, where applicable. Reviewer-relevant declarations must remain in the Blinded Manuscript, with author-identifying details replaced by [blinded for review] where necessary. Complete non-blinded information may be included on the separate Title Page where required and must be restored before final publication. Multi-author manuscripts must include a contribution statement using the CRediT Contributor Roles Taxonomy. A sole-author manuscript must state that the author is solely responsible for all applicable contributor roles.
- Generative AI and AI-assisted technologies. The manuscript contains a Generative AI and AI-Assisted Technologies Statement before the References, declaring either the use or non-use of covered technologies. Where such technology was used, the statement identifies the tool and provider, model or version where available, date or period of use, specific purpose, affected task or manuscript section, and the human verification performed. Generative AI has not been listed as an author, source, or accountable contributor, and the named authors retain full responsibility for the submitted content. The statement complies with the journal’s Generative AI and AI-Assisted Technologies Policy.
- Ethics, consent, registration, and data availability. Where applicable, the manuscript reports the ethics committee, institutional review board, or other responsible review body; approval or protocol number where available; informed consent or assent procedure; consent for publication where an individual may be identifiable; and study or protocol registration where applicable. When formal ethics review, consent, or registration was not required, or an exemption was granted, the manuscript must explain the applicable legal, institutional, ethical, or methodological basis and identify the responsible authority where applicable. The Data Availability Statement identifies where supporting data, code, instruments, protocols, software artefacts, models, or other materials can be accessed; states when no new data were created or analysed where applicable; or explains any ethical, privacy, legal, security, cultural, contractual, commercial, proprietary, or third-party restrictions.
- Structure, formatting, figures, tables, and third-party material. The manuscript is written in clear English and follows the content, article structure, scholarly presentation, anonymisation, declaration, citation, reference, and reporting requirements specified in the current J-HyTEL Author Guidelines. Authors may use the J-HyTEL recommended manuscript template or another clear and professional Microsoft Word format, provided that all required sections and information are presented correctly. The uploaded files open correctly and do not depend on inaccessible or externally linked material that is essential for evaluation. All figures and tables are numbered, captioned, placed appropriately, and cited in the text. Third-party text, figures, tables, images, instruments, datasets, or other copyrighted material are properly attributed, and any required permission, licence, ethics approval, or consent has been obtained and documented.
- IEEE citations and references. The manuscript follows the journal’s required IEEE reference style. Every in-text citation has a corresponding reference-list entry, and every reference-list entry is cited in the manuscript. Author names, titles, publication details, years, volumes, issues, pages or article numbers, DOIs, and stable URLs have been checked against the original publication or another authoritative retrievable record. Each DOI or URL supplied resolves to the source described, and the cited source supports the claim for which it is used.
- Policies, fees, copyright, licensing, and open access. The authors have reviewed the current APC & Waiver Policy, Copyright & License Policy, Open Access Policy, and Plagiarism and Similarity Screening Policy. No fee is charged for manuscript submission or peer review. Any applicable Article Processing Charge is administered only after formal acceptance and does not influence editorial or peer-review decisions.
